Organizing in Outlook

I rely heavily on my Outlook calendar. I keep it up to date and, when needed, I block work times and travel time.

Over the past year I started categorizing my meetings by department and/or construction project. I have found this to be highly useful when I look at my schedule. I can clearly see where I will spend most of my time during the week. I can also see if I am missing touch points with certain teams. If I don’t have any scheduled time with that team, then I may need to adjust to make sure I update with them during the week.

I also link our family calendar into Outlook so I know when kids events or other family meetings or appointments are coming up.

Overall, I really like Outlook and find it is highly effective at keeping me organized every week.

Here are two separate weeks from this year so you can see how the coloring varies and helps me understand where I will spend most of my time for the week.
